Privacy Policy

What information reaches the journal, why it is used, and how to ask for help with your data.

Last updated

This policy explains how Our Coffee Tyme handles information when you read the journal, sign up for the coffee club, or send a message. You do not need an account to read our articles. Information handling also depends on the hosting platform and the outside services a page loads.

1. Information you choose to share

Newsletter signup stores your email address, an internal subscriber ID, the signup date and time, and email-delivery status in the site’s database. If a welcome email is attempted, we record its attempt time and, when confirmed, the provider’s email ID and acceptance time. Unsubscribe requests record when the address opted out. New signups also notify the site owner through Manus notifications. We use these records to maintain the signup list, prevent duplicate or unwanted sends, and support newsletter-related requests.

Welcome-email sending is conditional: it stays off until a verified sender and the required email-service configuration are enabled. The signup form tells you when delivery is not yet enabled. When enabled, a new signup submits one branded welcome email to Resend, including a recipe, quiz link, and unsubscribe link. Provider acceptance is not a guarantee of inbox delivery. Existing subscribers are not automatically emailed retroactively, failed attempts are not automatically resent, and no recurring email schedule is implemented. Resend receives the recipient address, message content, and necessary delivery information under its own policies.

Our contact form asks for your email address, a topic (privacy, correction, or general), and your message. These details are sent to the site owner's Manus notifications so the owner can review the request and, where appropriate, reply. The site does not keep a separate contact-message database, but the notification service and infrastructure may retain messages and logs. Sending a message does not sign you up for the newsletter. Please do not include passwords, payment details, identity documents, or sensitive health information.

When you request a coffee quiz match, your six selected preferences (temperature, flavor, sweetness, milk, caffeine and available equipment) are sent through the Manus AI service to generate a recommendation from the site's existing recipes. No email or account is requested, and the site does not save quiz answers or results in a database. Answers and results remain in the current page's memory and reset when you leave or restart. Hosting and AI providers may retain technical logs or request data under their own policies; this is not a promise of zero provider retention. The quiz is not an allergy-screening or medical-advice service. It does not subscribe you to the newsletter.

2. Information involved in loading the site

Hosting, content delivery, and other service providers may process technical information such as your IP address, browser and device information, the page requested, referring page, and request time. Such information can appear in delivery, security, and error logs and is used to operate the site and investigate problems.

To limit contact-form abuse, the server temporarily keeps a hashed source identifier, submission count, and expiry time in memory. These counters use a 10-minute window and are not stored as contact-message database records. This basic safeguard may apply to people sharing the same network or hosting proxy.

Newsletter signup and unsubscribe requests also use salted hashed source identifiers, request counts, and a 10-minute expiry window in server memory for basic abuse protection. These are per-server counters, not subscriber IP-address records. The AI coffee quiz also uses short-lived, salted hashed source identifiers, request counts and expiry times in server memory to limit excessive AI requests. These expire after a 10-minute window and are not database records. The limiter is a basic per-server safeguard; shared networks or hosting proxies can share a limit.

The site includes a configurable Umami analytics integration. If analytics is enabled in the deployed environment, it may collect visit and usage information. The precise collection depends on the provider and configuration; this policy is not a promise that every visit is untracked or that all services are cookie-free.

3. Search, checklists, cookies, and browser storage

Article search and category filtering run locally in your browser. The site does not submit your search text to a search service or store it as a search record. Recipe checklist selections, where available, are held only in the current page's memory: they are not sent to the site or saved for a later visit. Infrastructure and analytics can still receive information about the page you visit.

The journal currently uses a fixed light theme. The theme component can save a theme preference in localStorage if a switchable theme is enabled in the future; that preference storage is not active in the current journal configuration.

Optional platform sign-in uses a session cookie to keep you signed in. Platform authentication or administrative interfaces, if used, can also keep account information or interface preferences in browser storage. You can clear cookies and local storage in your browser, although doing so may sign you out or reset preferences. Outside services such as embedded video may use their own cookies or similar technologies.

4. Optional platform accounts

Ordinary journal reading does not require registration. If you use the platform's optional sign-in, the authentication system can store your platform identifier (openId), name, email address, sign-in method, account role, and account creation, update, and last-login timestamps. It uses these details to identify an account, manage access, and maintain a session. Some fields depend on what the sign-in provider supplies.

Account handling by the sign-in provider is also subject to that provider's policies. A site-data removal request does not necessarily close an account held separately with Manus or another provider.

5. Fonts, images, videos, and external links

Pages load Google Fonts and images from content delivery services and Unsplash. Some articles embed YouTube videos directly. These services can receive technical information when their content loads; a video embed may make requests before you press play. Their own privacy policies and settings govern their handling of that information.

Following an external article, retailer, affiliate, or social-sharing link takes you to another service. A retailer may use cookies or other attribution tools to associate a purchase with a referral. Our Coffee Tyme does not control those services or their privacy choices. Check their policies before supplying information or buying anything.

6. Why information is used and who receives it

Information is used to run the journal, maintain newsletter signups, review messages and corrections, handle privacy requests, manage optional authentication, and troubleshoot or protect the service. The site owner receives signup and contact details through Manus notifications. Hosting, database, notification, authentication, analytics, and content-delivery providers process information as needed for their services.

Information may also need to be disclosed when required by applicable law or to address fraud, abuse, security incidents, or a legal claim. We aim to limit such disclosures to what is relevant. Third parties loaded by a page may process information under their own terms rather than solely on the site's instructions.

The owner and service providers may process information in countries other than yours. The protections and rules in those countries can differ. This page does not claim a particular hosting location or international legal certification.

7. Retention and security

Active newsletter records are generally kept while needed for the list. Unsubscribed addresses and their opt-out timestamps remain as suppression records so the site can remember not to send future email; unsubscribing alone does not delete these records. You can use the contact form to request deletion or ask about retention. Contact notifications may be kept while a request is reviewed and for reasonable follow-up or recordkeeping. Optional account information is kept while needed to support the account and related operational requirements.

Provider logs and backup copies can persist according to the provider's retention and backup cycles. Removal from active records may not immediately erase every backup or log, and some information may need to be retained for security or legal reasons. There is no single fixed retention period for all of these systems.

We aim to limit access to information and use the platform's security features, but no online service or transmission can be guaranteed completely secure. Avoid sending information that is not needed to resolve your request.

8. Access, corrections, deletion, and unsubscribe requests

Use the unsubscribe link in an Our Coffee Tyme email to open the confirmation page, then choose Confirm unsubscribe. Merely opening the link does not change your subscription. The link uses a signed subscriber identifier rather than placing your email address in the URL; treat it as private. Use the contact form’s privacy topic to ask about information associated with your email address, correct it, request deletion, or unsubscribe if the link is unavailable. Include the subscribed address and your request. There is no dedicated public contact email at present; the form is the available route to the owner.

We may ask for limited confirmation that you control the relevant email address or account before providing or changing personal information. Please do not send identity documents unless a necessary verification method has first been explained. Requests are reviewed by the owner; submitting the form does not guarantee an immediate reply or a particular response time. If the form reports a delivery failure, the request has not been confirmed as received and you should try again.

Your rights may vary with the laws that apply to you. We will consider applicable requirements and explain any limitation that prevents a request from being fulfilled, such as information held independently by another provider. You can also use browser and provider controls for cookies, storage, and third-party content.

9. Children and personal information

The journal is intended for a general audience, and our signup and contact forms are not intended for children under 13. If you believe a child has submitted personal information, use the privacy contact form so the owner can review the situation and arrange removal where appropriate. Parents and guardians should supervise minors' use of forms and outside services.

10. Changes to this policy

We may revise this policy as the journal and its services change. The updated date identifies the latest version on this page. Material changes in collection or use should be explained here and, where appropriate, through an additional notice. This policy describes our practices; it does not guarantee compliance with every jurisdiction's laws.
